Election of ProxiesPlease remember that your lodge must elect a Proxy at its April Stated Communication.  Your Proxy is to represent your lodge in the event that neither the Master nor the Senior or Junior Warden is able to attend our Annual Communication on May 3, 2011.  We will be sending you a Proxy Form, which you should use as it must be in the possession of the Proxy when he registers at Grand Lodge. 

Candidates for Grand Lodge Office:  Any Brother that is thinking of submitting his  name as a candidate for an elective Grand Lodge office should be aware that the deadline for submitting his intent to run for office is March 15, 2011.  Should you decide to run for office you must submit a letter of intent to the Grand Secretary by March 15th. 

Your Grand Secretary and Grand Treasurer have each submitted their letter of intent to run for re-election.

Committee ReportsEvery Grand Lodge Committee is required to submit a report annually.  The deadline for that report is April 1st each year.  I would highly recommend that the Chairman arrange to have the report done on a computer in a Word Format and submit it electronically. If we receive the report in written form we will scan it into our computer for the Annual Proceedings. If we receive it electronically it will save the Staff at Grand Lodge a great deal of time.

E-mail Addresses:  Once again, I would like to remind you that we have three different email addresses coming into the Grand Lodge office; each for a specific purpose:
 
grandlodge@mainemason.org goes directly to our Staff, who will fill your orders for lodge supplies, 50 Year Veterans’ Medals, official forms and forwarding dispensation requests to the Grand Master. If you wish to submit your Committee Report to Grand Lodge before the Annual Session of Grand Lodge, electronically, then you should address it to grandlodge@mainemason.org  By doing so, the staff in the Grand Lodge office will be able to access it directly and process it immediately.  If you send it directly to the Grand Secretary it will cause a delay because the Grand Secretary will have to print the entire report and deliver it to the staff or forward the message to their computer.  Both of these steps cause unnecessary delays when dozens of reports are received at the wrong email address.  The address - grandtreasurer@mainemason.org goes to the Grand Treasurer and grandsecretary@mainemason.org goes to the Grand Secretary. Please try to use the address, which pertains to the particular message you are sending.  By doing so, you will help us to be more efficient here at the Grand Lodge Office.  Thank you!

Lodge History:  Most of our Lodge Secretaries have submitted their Annual Returns and I want to thank each of them for their efforts in getting them in on time.  The next deadline that our lodges need to consider is the deadline for submission of the Lodge History report. The Constitution calls for the Lodge History to be submitted to Grand Lodge on or before March 1st of each year. This is an opportunity for the lodge to document all the good things that have been accomplished during the past year. The Master of each lodge should ensure that the History is well prepared so that future generations might see what a good job he did during his term in the East.  By looking at this task in a positive light, you will find that it is not as difficult as it seemed at first.
