Newsletter from the Grand Secretary
Hollis G. Dixon, Grand Secretary
October 2008
Inspection by the District Deputy Grand Master: Each year your lodge will be inspected by the District Deputy Grand Master of your Masonic District. In addition to observing and rating the lodge on the degree work performed that evening, he will inspect the records kept by the Secretary and the Treasurer of your lodge. One of the items that he is to observe is your current “List of Lodges Book,” which should be available at the Tyler’s station. Each year Grand Lodge orders a supply of these books to be available for resale to our lodges. In the last few years, very few lodges have ordered their current book. Please consider updating your book before your Annual Inspection.
CHIPS Committee: At a recent meeting of the CHIPS Committee it was recommended that every lodge in this Grand Jurisdiction should designate a member to act as a contact person for the CHIPS program. Anytime a request is made for the lodge to put on a Child Identification Program, that contact person should contact members of the lodge to determine who is available to help put on the program. He should also make sure that the people who agree to participate are familiar with the process and know how to handle the equipment. He should then contact the CHIPS Coordinator for his area and request the necessary equipment for the detail. Only the CHIPS Coordinator for that area of the state is authorized to approve a request for a CHIPS detail and that will only happen when he determines that trained personnel are available to put on the program.
Membership Committee: The Grand Master has appointed a Membership Committee that has been holding meetings to develop a new and aggressive program that will ensure that we see a growth in membership. One thing that they will need to make this program work is a contact person in every lodge that will report to a central point on a regular basis with information concerning applicants. I believe that you will be receiving correspondence pursuant to this matter in the near future.
E-mail Addresses: Once again, I would like to remind you that we have three different email addresses coming into the Grand Lodge office; each for a specific purpose:
- grandlodge@mainemason.org goes directly to the girls that will fill your orders for lodge supplies, 50 Year Veterans’ Medals, official forms and forwarding Dispensation requests to the Grand Master.
- grandtreasurer@mainemason.org goes to the Grand Treasurer
- grandsecretary@mainemason.org goes to the Grand Secretary.
Please try to use the address, which pertains to the particular message you are sending. Additionally, if you would kindly furnish your name, title and the name of your lodge, it will help us to expedite your request and save us valuable time.
By doing so, you will help us to be more efficient here at the Grand Lodge Office.
Thank you!
Fraternally submitted,
Hollis G. Dixon
Grand Secretary
